Freelance Editorial Quality Assurance Specialist

Aha Media Group, a healthcare content strategy and content marketing agency, is seeking a detail-oriented Freelance Editorial Quality Assurance Specialist to conduct final quality assurance reviews of copy decks before they are delivered to clients.

We create patient-facing, physician-facing, and B2B content for academic medical centers, health systems, community hospitals, healthcare technology companies, and medical device organizations.

The Editorial Quality Assurance Specialist serves as the final quality checkpoint in our content-development process. This person reviews completed copy decks for accuracy, consistency, functionality, and adherence to Aha Media Group and client-specific standards.

This role is focused on quality assurance, not developmental editing: the specialist identifies and corrects errors, flags inconsistencies, and confirms each deliverable is polished for client review, rather than rewriting content, coaching writers, or directing the overall edit.

Quality Assurance Responsibilities

Copy Deck Quality Assurance

• Review completed copy decks for grammar, spelling, punctuation, syntax, clarity, and typographical errors, flagging jargon, repetition, or confusing language.
  • Confirm adherence to client-specific style guides, brand standards, and Aha Media Group editorial standards, including digital writing best practices and plain-language principles.
• Check formatting and content consistency across page titles, headlines, subheads, calls to action, and other copy-deck elements.
• Verify that revisions, client feedback, and tracked changes or internal notes have been incorporated and handled appropriately before client delivery.

Link and Content Verification

• Test hyperlinks and link text for functionality, accuracy, and appropriateness, flagging broken, outdated, duplicate, or questionable links.
  • Review referenced names, titles, departments, locations, and other details for consistency, flagging content that appears inaccurate for review by the appropriate team member.
• Confirm that required source information, citations, or supporting materials are present when applicable.

Process and Collaboration

• Complete QA reviews on time, in line with the project plan.
• Follow established file-naming, version-control, and copy-deck processes, tracking recurring errors to help improve templates, documentation, or workflows.
• Collaborate professionally with writers, editors, and account team members.
• Maintain confidentiality when handling client information and unpublished content.

Strategic Alignment

The primary responsibility of this role is editorial quality assurance. The specialist should also perform a high-level review to confirm that the copy appears consistent with the documented assignment, audience, and intended purpose.

• Confirm that the content addresses the assigned topic and audience and that required messages or sections appear to be included.
• Flag content that appears noticeably inconsistent with the approved strategy or project brief and escalate strategic concerns rather than independently revising the content strategy.

This role is not responsible for developing strategy, evaluating the overall strategic approach, or replacing the project editor or strategist.

Qualifications

• Demonstrated experience proofreading, copyediting, or performing editorial quality assurance, with exceptional attention to detail across lengthy documents.
• Strong command of English grammar, spelling, punctuation, and usage, and experience applying organizational, client-specific, or industry style guides such as AP style.
• Experience reviewing digital content, website copy, or marketing materials.
• Ability to follow detailed processes, checklists, and formatting requirements.
• Strong written communication skills and sound editorial judgment.
• Ability to manage multiple assignments and meet deadlines while working independently in a fast-paced, distributed remote environment.

Preferred Qualifications

• Experience reviewing healthcare, medical, or health-related content for academic medical centers, health systems, hospitals, healthcare technology companies, or medical device organizations.
• Familiarity with health literacy, plain-language principles, and accessible digital content.
• Familiarity with SEO fundamentals and web-writing best practices.
• Experience working in structured copy decks or content templates, using tools such as Basecamp, Airtable, Workfront, or similar systems.

Freelance Requirements

• Operate as a professional freelancer with a U.S. Social Security number or tax identification number.
• Be available for communication during standard U.S. business hours and able to accept and complete assignments within established turnaround times.
• Be willing to commit to up to 20 hours each week, based on business needs.
• This is an hourly position with a rate of $35/hour.
