The Project Coordinator serves as the operational hub for client projects, ensuring work moves efficiently from kickoff through delivery. This role is ideal for someone who excels at organizing complex projects, tracking details, and keeping teams organized and on schedule.

Project Coordinators work closely with Account Executives, writers, editors, and strategists to keep projects organized and moving forward, and keep the trains running and on time. Account Executives to focus on client relationships and strategy.

A significant part of this role involves reviewing healthcare copywriting. Project Coordinators should be comfortable reading marketing copy closely and identifying issues related to grammar, clarity, tone, plain language, and adherence to editorial style guidelines.

  • Understand who owns each deliverable
  • Follow up proactively before timelines slip
  • Take pride in keeping teams organized and accountable

Responsibilities

Project Coordination

  • Create and manage project timelines and deliverable trackers
  • Monitor deadlines and follow up with team members to keep work on schedule
  • Coordinate work across writers, editors, QA, and account leads
  • Identify potential timeline risks and escalate when needed
  • Maintain project management systems (Basecamp, Salesforce, Workfront, Airtable, or similar tools)

Editorial Review

  • Review copywriting decks prior to client review for grammar, clarity, tone, and style guide adherence
  • Ensure content follows plain language and healthcare communication best practices
  • Flag issues that may require writer or editor revision

Process Improvement

  • Help build systems that improve project organization and efficiency, such as
    • project templates
    • onboarding workflows
    • kickoff and delivery checklists
    • content approval processes
    • recurring reporting systems

Requirements

  • Minimum of 5 years of professional experience required, preferably coordinating projects in healthcare marketing, digital marketing, or content production environments
  • Strong attention to detail
  • Strong reading comprehension and ability to evaluate marketing copy for clarity and tone
  • Ability to identify issues related to plain language, readability, and audience understanding
  • Excellent organizational and communication skills
  • Ability to manage multiple deadlines in a fast-paced environment
  • Comfortable working remotely while collaborating with a distributed team
  • Applicants must be authorized to work in the United States
